Information we collect

Depending on how you use PCHUB, we may collect your name, email address, telephone number, device type and model, fault description, enquiry subject and message, preferred booking date, repair/job reference, quotations, payment records, repair communications and other information reasonably needed to respond to or carry out the service.

Our website forms may also process technical security information needed to prevent abuse. The PCHUB form system stores a one-way security identifier derived from the submitting IP address rather than displaying the raw IP address in the enquiry record. Hosting, firewall and email systems may keep their own technical logs.

Website enquiries and Repair Jobs

Contact, quote and booking enquiries submitted through PCHUB-owned forms are saved in the restricted WordPress administration area before notification email is attempted. This means the enquiry can still be reviewed by authorised PCHUB staff if email delivery fails.

If an enquiry becomes repair work, authorised staff may convert it into a Repair Job. Relevant enquiry details are then copied into the job record. The system may send an internal conversion notification to the PCHUB email address configured by an administrator and, where enabled, a job-created email to the customer.

Device and repair data

A device may contain personal files or account information. PCHUB should access only information reasonably necessary to diagnose, test, recover or complete the agreed service. Customers should back up important data where possible and tell us before work begins if particularly sensitive or irreplaceable information is involved.

Why we use information and our lawful bases

We use personal information to respond to enquiries, provide quotations, take steps requested before entering a repair contract, perform agreed repair services, arrange appointments, manage repair records and payments, communicate job status, handle warranties or complaints, maintain website and service security, meet legal or accounting obligations and improve our services.

Depending on the activity, our lawful basis may be steps taken at your request before a contract, performance of a contract, compliance with a legal obligation, or our legitimate interests in operating, securing and improving PCHUB. Where consent is required, including for optional analytics, consent can be withdrawn for future processing.

Service providers and external services

We may use service providers for website hosting, backups, email/SMTP delivery, security and spam prevention (including Cloudflare Turnstile), analytics (including Google Analytics through Google Site Kit when analytics consent is granted), and other business systems needed to operate PCHUB.

The Contact page offers an OpenStreetMap interactive map that is loaded only after you choose to view it. Loading the map makes a direct connection to OpenStreetMap infrastructure. The Get Directions button opens Google Maps in a separate service. WhatsApp and social-media links likewise take you to third-party services when you choose to use them. Those providers process data under their own privacy terms.

International processing

Some third-party technology providers may process information outside the UK. Where this occurs, PCHUB expects the relevant provider to use an applicable lawful transfer mechanism or other safeguard required by UK data-protection law.

Retention

We keep enquiry, repair and business records only for as long as reasonably needed for the purpose for which they were collected, including responding to the enquiry, performing the service, warranty or complaint handling, accounting, fraud/security prevention and legal obligations. Records are reviewed or deleted when they are no longer reasonably required. Backup and email systems may retain protected copies for a limited backup or retention cycle.

Your UK data-protection rights

Depending on the circumstances and lawful basis, you may have rights to request access, correction, erasure, restriction, objection and data portability. Where processing is based on consent, you may withdraw that consent for future processing. You may also complain to the UK Information Commissioner’s Office. Automated decision-making

PCHUB does not use the website enquiry or repair-management system to make solely automated decisions that produce legal or similarly significant effects about customers.

Security

We use reasonable technical and organisational measures intended to protect customer and website information, including access controls, HTTPS, anti-spam/security checks and restricted administration. No internet or storage system can be guaranteed completely secure.
